I personally blame a lot of this on social media. It’s the perfect concoction for depression, anxiety and the feeling of not knowing what path is right for you.

    A couple of hours on the Zuckerberg Express (a.k.a. Facebook) and you’ll be fed other people’s successes so much you’ll start to doubt your own. A video of a fix-and-flip specialist will quickly make you think you need to stop what you’re working on, buy houses and renovate them yourself. You’ve never held a hammer and you don’t know what HVAC stands for, but if this 30-second video on Instagram taught you anything, it’s that the time is now…

    Excuse my sarcasm, but even as I’m writing, I’m reminded of the ridiculous paths I’ve gone down thanks to social media. That’s a story for another time though. Through exploring and failing on many of these voyages, I’ve learned a tried and true method to keep me goal-oriented and combat as much of the social media facade as I can: whiteboarding.

    Yes, you read that right. Structured and creative time away from all other work and life needs, with just a whiteboard, a marker and your thoughts. In my nine years as a business owner, I’ve found whiteboarding to be the single strongest tool for fine-tuning my ideas, innovating and niching down. Below are the three biggest rules I use for effective whiteboarding.

    1. No erasing

    Before you start, remove the eraser from the room. It’s so easy to get hyper-critical of what you’re writing when you know you can erase it. By operating under the “no idea is a bad idea” philosophy, I’ve been able to discover new revenue streams for my business, fine-tune my goals and more. Not erasing anything is a great way to leave thoughts up on the board for further development. Sometimes an idea I quickly jotted down — that I would’ve erased in real time — just needed some further tweaking. That idea later became a huge component of my business moving forward.

    2. Time your whiteboarding sessions

    I like to do 20-minute sprints, but find an amount of time that feels comfortable for you. Remember, this exercise is for you. If 20 minutes is too long, do 10. If 20 minutes is too short, do 30. This is your time.

    Turn a timer on and turn everything else off for whatever amount of time you decide. I like to stand up in front of the board (sometimes even pace) and write as much as my brain and hand will let me. After the allotted 20 minutes, I sit down and spend time reading and digging into each thought. Oftentimes, this is where I’m able to expand a simple thought into something much more developed and fleshed out. If I feel like I hit an “aha” moment, I take a photo of the board, then erase and flesh that idea out further. If I didn’t, I spend some more time reading and digesting, then I take a photo and get back to my work. Not every time will be one of those euphoric highs we all love about entrepreneurship and finding new ideas, but the simple act of doing this frequently creates clarity.

    3. Frequency

    I personally do these whiteboard sessions once a week. I’ve found that to be frequent enough to work through things, but not so frequent to the point of wasting time or energy on the same thoughts over and over. If I’m feeling extra lost that week, rather than adding an extra session, I prefer to jot it down to work on at my next whiteboarding session. Routines are everything.

    A lot of people talk about the power of whiteboarding in groups for creative brainstorming. I find that to also be an effective way to pull ideas out of a group, but the sessions need to be structured enough to not be a time suck for everyone and the groups need to be small pods before opening them up to bigger teams.

    When my business partner Ian Rodriguez and I launched Innovo, we’d spend hours behind a whiteboard taking turns workshopping every little detail and idea. Those days were extremely effective for clarifying who we were and what we wanted to accomplish.

    Once your business is moving you obviously can’t spend hours weekly doing those sessions though. In my opinion, the best go-forward strategy I’ve found here is to whiteboard solo, develop some thoughts and opinions, then bring your partner(s) and team in to take it to the next level. This allows for personal clarity as well as tapping into others’ skill sets and ideas.

    Ideas are good, but clarity is great. Don’t be afraid to challenge yourself through whiteboarding — it’s become my secret weapon in entrepreneurship.

    If your company was hit by ransomware today, who would you call? Or perhaps a better question: How would you call them? It sounds absurd, but as a cybersecurity expert, I’ve seen organizations paralyzed in the first hours after an incident simply because nobody knows anyone’s cell number anymore. Without access to email or messaging systems, communication grinds to a halt and workers, customers and suppliers are all left wondering what is going on. Panic rapidly escalates into a crisis.

    There’s a tendency to think about cybersecurity as being the responsibility of the IT or security department. But protecting your company comes down to two things: organizational culture and planning. That’s why some of the most important people on cyber defense aren’t in the IT team — they’re in human resources.

    The HR team is uniquely placed to embed cybersecurity preparedness into the everyday working of an organization. It’s responsible for building the policies and processes to mitigate risks and ensure the business has the competencies to be resilient to foreseeable challenges — and those include cyberattacks. And as the custodians of employees’ sensitive personal information, HR teams are themselves prime targets for hackers.

    Unfortunately, this vital role is often overlooked. So here are five ways HR can help make your business a tough target for cybercriminals.

    Build a cybersecurity culture

    Eternal vigilance is the price of our liberty to roam the internet. The number of threats is mind-blowing — a recent report found the average education institution faces more than 2,300 attempts to breach its systems in a week, while healthcare organizations fend off more than 1,600 attacks. With so many digital grenades being lobbed, it’s incredibly hard to catch them all. However, a strong cybersecurity culture helps an organization defend against attacks and limits the blast radius when one does get through. The tough part: Everyone has to be on the same page when it comes to online behaviors.

    Step one is to ensure you have the training tools so that employees know what they should and should not be doing. Most organizations are reasonably good at this. Whereas, many fall short by not putting that information into practice every day.

    The best way to ensure that everyone considers cybersecurity a fundamental part of their responsibilities is to build it into performance reviews. This should not take the form of calling out workers for every dodgy link they click on. Instead, it should be a constructive conversation about how they’re keeping up with their cyber literacy training. There are cyber health-check tools that workers can use to analyze their online behavior and address weaknesses (like reusing Pa$$w0rd across half the internet or not using two-factor authentication) and often these can be used to track progress toward cybersecurity goals at an organizational level.

    When safety precautions are regularly discussed, they just become part of how you do business.

    Protect your crown jewels

    HR has custody of some of the most sensitive information in an organization — and hackers know this. In the past five years or so, many companies have adopted platforms that enable employees to self-serve routine tasks like vacation requests. However, third-party platforms come with risks. Hackers target them in so-called supply chain attacks, knowing that if they get lucky, they can access troves of information from multiple companies. In 2021, more than 300 organizations were breached in a hack of a widely used file transfer system. One of these was the University of California, which said the information exposed included employees’ social security numbers, driver’s licenses and passport details (the UC system offered its staff free ID monitoring services).

    Job one for HR professionals is to ensure employee data remains confidential. Perform extensive due diligence before your organization signs up for any third-party HR service. Only consider companies that comply with international standards (SOC 2 and ISO 27001 are the main ones to look out for) and check online for reports of security incidents at the site in the past few years. Also, look into where your data is being stored and how it is being backed up. Depending on your location and industry, you may have to comply with data residency laws.

    Stop hoarding data

    Updating the data retention policy should be on the to-do list of every HR department. I say updating because every company has a data retention policy whether they know it or not. If yours isn’t written down, then your policy is simply to keep everything forever. And that exposes you to considerable risk. The more data you have, the worse a breach can be — it’s especially bad if you’re hoarding data you no longer need. Many jurisdictions have limits on how long companies should retain sensitive information — it’s often around seven years for records on former employees.

    Figure out who will call the shots when a breach happens

    Cybersecurity may be everyone’s day-to-day responsibility, but when an attack gets through there should be one person in charge of the response. In cybersecurity lingo, we call this the incident commander. While everyone can have an opinion on the best course of action, decision-making power rests with them.

    The job spec for incident commander only has one line: It’s whoever best understands cybersecurity issues in your organization. Depending on the size of your business, that might be a cybersecurity leader, the head of IT or it could be Joanne in accounting who took a few courses on this stuff. Whoever it is, make sure you’ve identified them before an incident happens and have clearly communicated that to your team. Once a cybersecurity incident happens, events move quickly — in one case I was involved in, the hackers gave a 45-minute warning before starting to post sensitive information — so you don’t want to waste time figuring out who’s in charge.

    Run some drills

    Planning is only one half of the equation. Practice is the other. Plenty of research has shown that people don’t think clearly in stressful situations. We perform drills for fires and earthquakes to give us a framework to fall back on in an emergency. The same idea works for cybersecurity incidents. Set aside two hours once a year to run a tabletop exercise with key staff that simulates what you’ll do if the company is hacked. In these exercises, someone takes the role of a moderator to explain the nature of the attack and what’s been affected, while everyone else plays out how they’d respond.

    The first time you conduct the exercise, it’ll likely be a mess — but that’s the point. The scramble to figure things out will reveal the gaps in your plans. Over time, the drills will become second nature.

    And write contact information down — on paper

    Put the incident team’s phone numbers down on paper and update the list regularly. Yes, it’s old school. Yes, it’s annoying. And yes, one day you’ll be thankful you did.

    Customer demands are never static — what people want or need is constantly changing.     When we’re presented with situations requiring logistics-heavy features, our approach is to evaluate how we can leverage our strength in software development and automation to provide customers with that all-in-one solution. But throughout the entire process, our focus remains on keeping the customer experience our top priority.

    Knowing when to build

    Integrating with a partner often seems like an easy and expedient way for businesses to quickly offer their customers a solution. The problem is, the partnership doesn’t always lead the business toward its ultimate goal.

    Partners tend to work with multiple companies, not just one business. Because these partners are being pulled in all different directions, they can be slow with developments. Integrations often aren’t as seamless as they need to be. There tend to be elements lacking, which means customers have to do some tasks manually. Companies often end up lifting all the weight, handling marketing, sales and support, too. If the business develops the solution in-house, however, they’re adding to the capability based on what customers are asking for rather than being distracted by other partnership wants or requests.

    Secondly, technologies like cloud services have improved to such a degree that many solutions can often be built in-house. But using these technologies takes time and additional resources. A business has to figure out if putting hours or other assets into these tools makes the most sense.

    Leaders considering developing an in-house solution should first determine whether they have the people to build the solution along with the technology and know-how to move forward.

    If the answer to these questions is yes, build. It might take longer to develop the solution in-house, but in the end, your business will likely have a better product than the competition.

    Importantly, partners can also be a stepping stone to in-house development. For leaders unsure of the profitability or popularity of a certain solution, utilizing a partner for the short term can serve as a quick way to provide a feature and assess how customers take to the product. If customer acceptance is high, the business can feel confident they’ve seen enough to gauge the logistics involved and that the in-house solution will be profitable. But a company that wants to go this route should make sure they have a clause in their contract that’s favorable to the business and partner eventually separating when necessary.

    Knowing when to partner

    Partnerships make sense when a company needs to fill resource or skills gaps to offer customers the best experience possible. They also are the way to go if the partner can help the company use its existing strengths to a greater advantage. To assess whether a partner can support the desired five-star experience, start by reading through the partner’s reviews and understanding the reputation they’ve created for themselves.

    A good partner should also align their pricing structures with the primary company’s. Consistent pricing structures are usually less disruptive for customers. They also indicate that the company and partner have a shared understanding of their market and how to sell.

    Finally, businesses should assess and analyze the technology used by the partner. Companies and partners need to be evolving at the same rate so they can grow together. If a company and partner are in two different places with technology, they may have to do more work to align systems for a smooth, reliable integration. But if the company and partner are on similar pages with technology, they can usually produce an effective solution together quickly.

    Multiple paths, one big picture

    All-in-one solutions are critical to an excellent customer experience. Clearly, there’s more than one path a business can take to develop those solutions, whether that’s building in-house or partnering. And in other cases, a company might use a partnership as a way to see if longer-term in-house development is possible in the future.

    In every instance, the bigger picture matters most. When considering a partnership or an in-house solution, the key is to focus on how the overall decision impacts the company’s vision and growth prospects. By carefully assessing the current state and future goals of the business, leaders can identify the path that aligns with the organization’s overarching plans and values, ultimately leading to the creation of a cohesive all-in-one solution.

    I’ve been a lawyer for 20 years now. That’s mind-blowing to me because it seems like just yesterday that I was driving down to New Orleans for my first year of law school. But the fact remains, 20 years have passed, and I seem to be way better at getting injured doing harmless things than I was back when I was 23 years old. But what is really scary is how little the practice of law has changed in the 20 years since I started. Let me explain.

    Twenty years is a long time, but technology (good technology) existed back then. We had powerful desktop computers, laptops and handheld devices (queue the Blackberry jokes) that could still do amazing things, automating complex tasks and allowing us to communicate across the country with ease. Yet, when I would go to state court for hearings, we would use carbon paper (yes, carbon paper) to make duplicate copies of orders. If you needed a document from a prior case, you would head down to the clerk’s desk and ask for the redweld so you could leaf through the paper file. I would record my time in six-minute increments on a daily basis by writing it in pen on a paper time sheet.

    For the 11 years I was in private practice, nothing changed. In fact, I’m not sure anything has changed in the nine years since I left private practice. For all I know, attorneys are still looking for the least used piece of carbon paper to make sure they don’t have to press too hard to make a legible copy. Many court decisions are still memorialized solely in paper files or unscannable pdfs. There is an abundance of attorneys who are demanding a return to in-person hearings instead of virtual proceedings.

    The costs associated with ignoring innovation

    While this all seems amusing (and a little mind-boggling), it speaks to a larger problem in the legal industry and several other industries as well. The entrenchment of ideas and processes. The fear of the novel. The trepidation associated with changing things from “the way they’ve always been done.” I don’t mind tradition, and it most certainly has its place. But the fact is, there are real costs associated with doing things the same way simply because they are familiar and comfortable. And those costs can trickle down.

    Let’s take a basic example of in-person hearings. Back in the day, it wasn’t uncommon for an attorney to have to attend a status hearing in person, even if it was occurring across the country. That would necessitate airfare, lodging, meals, as well as additional travel time billed to the file. Depending on the number of attorneys involved in the case, it is not remotely inconceivable that an in-person hearing could cost the client five to ten times what a Zoom hearing would cost, maybe more. If the company has a lot of litigation, those costs will increase exponentially for each case on the company’s docket. In contrast, with a basic Zoom hearing, an attorney can now jump into the proceeding, inform the court of the status and jump back out, all while never leaving their desk. But not all attorneys like virtual proceedings. Because they’re novel … different.

    Why should you care?

    Why do you care, you may ask? Well, those are costs associated with doing business that need to be mitigated or paid for somehow — which may mean an increase in prices passed on to consumers. Long story short, the impact doesn’t simply end at the company’s income statement and balance sheet. Even worse, those dollars could be better spent on human capital, technology, training, education, and yes, innovation.

    These issues aren’t relegated to the law, however. Insurance is a good example. There are now several exciting apps that allow you to document damage by using your phone. Some even use AI to evaluate and price the repairs. Despite these innovations, it isn’t uncommon to have insurance companies that require you to get an in-person estimate from an examiner or to take your car to a physical repair shop so the damage can be evaluated. There are costs on both sides of the transaction in those instances. You may incur costs by missing work and taking time out of your day, while the insurance company incurs costs associated with compensating the adjuster and/or the repair shop. These may get passed along to you through increased insurance premiums or in other ways.

    Does the adoption of technology and acceptance of innovation solve all of these problems? No. But there are consequences to ignoring innovation. The most direct are the ones described above which may be passed down to you as a consumer. But there are ancillary effects as well. The next amazing product may not flourish if the old-school mindset continues to dominate. The next great entrepreneur may never get off the ground because their idea flies in the face of hundreds of years of “tradition.”

    Innovation and change can be scary — particularly if innovation threatens your job directly. But we now live in an innovation culture. For example, you can communicate across the globe from the palm of your hand. Tourists are going into space. You can ask a computer exceedingly difficult questions and get thoughtful and reasoned answers. None of this is going away. But there is still an abundance of entrenched old-school mindsets out there that continue to rail against new ways of doing things. Unfortunately, that can cost all of us. As mentioned above, there is certainly a time and place for tradition. And technology doesn’t fit for everything. But if we don’t at least consider the options out there, we all end up paying the price.

    About 15 years ago, I noticed the revenue of my company had flatlined. I work in the language-services industry, and at the time, we were primarily providing translation services through humans. Large technology clients had stopped buying from us, and we were determined to uncover the problem.

    As it turned out, we weren’t offering our big tech clients what they needed: machine-based language models that could train artificial intelligence and improve automated translation outcomes.

    This left us with two choices: adapt or lose business. Even though we knew incorporating AI into our company was critical to its success, the transition wasn’t easy. From the C-level down, the idea of incorporating machines into our workflow and changing the nature of our people’s jobs was met with a lot of resistance. The new direction would completely change the DNA of our company, and not everyone was on board.

    With the recent acceleration of generative AI tools like ChatGPT, businesses in virtually every industry are being forced to change. A report from the World Economic Forum, showed more than 75% of companies are looking to adopt AI tech in the next five years. And with AI expected to contribute 14.5% of the U.S. GDP by 2030, there’s no denying its impact on economic growth.

    As leaders across corporate America navigate the era of AI in the workplace, here are three insights I learned from the digital transformation of our company.

    Reskilling is key to rescaling your workforce

    Change is hard for everyone, but we found a lot of the resistance from our people came from not knowing what skills would be required of them as our company embraced AI. To ease their concerns, we brought in senior leaders who were adept at leading digital transformations to help reskill our workforce.

    Offering employees an opportunity to reskill in the age of AI has cross benefits. Not only did it allow us to retain many top employees who had institutional knowledge of our business and were critical to our culture, but as our people obtained new technical skills, it made them more employable: being a human language translator is great, but being a human language translator who has trained artificial intelligence engines is even better.

    The World Economic Forum’s Future of Jobs 2023 report showed 44% of employers surveyed from a cross-section of the world’s largest companies expect workers’ skills will be disrupted in the next five years. Such significant disruption requires business leaders, government and educational institutions alike to ensure we are providing the right training and reskilling of our human workforce.

    For us, at times reskilling required merging different divisions of our company together for cross-learning opportunities. A division that understood the technology, for instance, could collaborate with a division that understood the customer experience to uncover new client solutions. This enabled us to reutilize valuable team members and also set them up to grow and prosper in their individual careers.

    Robots can’t replace complex critical thinking

    I was given a demo by an AI vendor recently, and when asked if the translation technology could be used in a healthcare setting, he said “no.” This was due, in part, to the precise nature surrounding healthcare communication.

    It got me thinking about my father. He was a great citizen who immigrated to America to provide a better life for his family. Later in life, he got dementia and lost much of his speech. I imagined how awful it would have been for him to go through an MRI, for instance, being aided with AI, rather than a human, for language interpretation.

    As much as AI can help inform our decision-making and maximize efficiency, it can’t replace the emotional intelligence or critical-thinking skills of humans. An in-person interpreter is a multi-dimensional being with compassion that can mimic the gestures of a doctor and communicate to a vulnerable patient with empathy. That simply can’t be replicated through AI.

    AI bases its decision-making off of the aggregate of data that’s been programmed into it — data that often contains preconceived biases. For example, I went into DALL-E by Open AI recently and asked it to create an image of a woman CEO. All of the images produced were of Asian women with zero differentiation in body size, race or emotional expression. With the volume of content being created through data analytics, we need human’s complex critical thinking skills more than ever to help audit and regulate machine output.

    We also need human leadership skills more than ever. As a leader at our company, my role is to ensure we stay relevant — to be a step ahead of the trends and innovate to the benefit of our clients and team. These are skills that can be informed, but not replaced by AI.

    Great tools require even greater responsibility

    At the time of the Industrial Revolution, we had regulations in place for physical crimes. To this day, if you go into a supermarket and steal a physical product, there is legislation in place to prosecute you. The same cannot be said for the digital economy. Our justice system is not currently set up to protect Americans from the volume of cybersecurity issues the age of AI presents.

    A recent report from Gartner showed that by 2025, consumerization of AI-enabled fraud will drive more focus on security education and awareness. From managing large volumes of private data to protecting our election systems, it’s extremely important that our laws and regulations catch up with the digital age.

    For business leaders, one of the biggest mistakes you can make when incorporating AI into your organization is to violate the privacy of your stakeholders. And it’s not just humans that put privacy at risk. Machines and systems themselves can become non-compliant if they aren’t tested and implemented in a responsible manner. Privacy breaches can be extremely damaging and harm a lot of people, which is why it’s critical that AI is used responsibly and in conjunction with robust cybersecurity measures.

    It’s early days in the era of AI, but already leaders around the world are recognizing its transformative capabilities. With great power comes great responsibility, and I believe it’s critical that as we go further down the road of incorporating AI into our workplaces, we establish regulations and uphold policies to protect the value of human life.

    C’mon, is there anyone out there who doesn’t think Kim K. and Pete D. were a curated love affair? Hollywood is full of set-up relationships and staged situations aimed at one goal: garner media attention. And the more attention, the better, because increased media attention translates directly to increased dollar value.

    Brand image is everything to a celebrity’s career. When the image is positive, it can influence everything from box office share to book sales, from what tequila flies off the shelves to what paint color is all the rage. One utterance of a coined term can go viral within hours. One sighting of a piece of clothing on a certain someone can catapult a design star overnight.

    But when a celebrity brand takes a hit, it can be devastating. It isn’t always — some reputations prove more resilient than others, but if the damage is great enough, fans and followers will knock you off the pedestal as quickly as they hoisted you up there.

    In my 15-year career in PR, I’ve worked with various celebrity types, including influencers, A-listers and corporate bigwigs. A crisis can pop up at any time, especially in today’s hypersensitive cancel culture, and that’s when more than just a hastily tweeted apology or lying low for a while is called for. That’s when it’s time for a crisis expert to step in with some strategic moves that have the power to move the needle in the direction you want it to go.

    Here are some of the tried-and-true methods that have gotten my clients out of hot water when it threatens to scald their reputations permanently.

    1. There’s always a scapegoat

    In every narrative, there has to be a villain. And your job is to make sure the villain isn’t your client. Case in point: When I handled a celebrity divorce, the famous one, my client (the husband), was getting raked over the coals for some silly choices and behaviors — he seemed like the bad guy in the story, but really, his not-well-known wife was the one cheating.

    We documented everything meticulously and were able to back up our claims of her infidelity; in the process, we pointed the blame where blame was due and salvaged his career. We didn’t make the wife the scapegoat; she was the scapegoat. But the public didn’t know that until we told a more accurate story than the one that was initially circulated.

    2. Someone is pulling the strings for the other party, so you’d best have someone doing the same on your side

    People work hard to build a life, a name or a brand. An insurance policy is needed to ensure they don’t lose it all at the whim of public fodder. A publicity specialist is that insurance, operating behind the scenes to move pieces into place and leverage connections to rewrite a narrative heading south.

    PR firms are often hired for just this purpose alone — for on-call crisis management and nothing more — because it’s far better to have already an established relationship with an expert in your corner than to seek out a stranger once a crisis has arisen frantically.

    I remember a story that was about to break about a client of mine that would have reflected poorly on him because of a bit of misinformation. Because I already knew and trusted him quite well, I believed his account of things. I picked up my cell phone, called the CNN writer, and got the nonfactual information edited out from the story. If I didn’t have that in with CNN, my client’s career could have suffered greatly.

    3. Use the press to your advantage

    The press can be your enemy, but it can also be your friend. It’s its own form of gossip mill and works in quite the same way. You know how bad news can spread like wildfire when the media sinks its teeth into a juicy story? Well, the opposite is equally true: Good news can be canvassed far and wide if you have a worthwhile story to tell and get it out there in time.

    If there’s anything the PR community has learned in this day and age of big-name and big-brand crises plastered all over social media, it’s that narratives have power. On behalf of your clientele, you need to tell the narratives they want to be publicized. The press literally follows celebrities around everywhere. It’s just as easy to get them to snap a shot of your client speaking at a charity brunch as it is to get a shot of them sneaking out of a late-night club bleary-eyed. Book the photo op. Get the views. With enough views, a new story is written.

    4. Know when to hold them and when to let them go

    All this said, there is a time and place to sit tight and wait things out. Strategizing is one thing, but smart management is another. When someone’s sizzling in the flames of bad press, that’s not the time to open their new restaurant or launch their new fragrance. Wait until the fire has died down but isn’t completely out — when your client is still a hot object of media attention but no longer the catch of the day — and then have them rise from the ashes.

    5. Listen, learn and do NOT repeat

    Helping someone out of a pickle once or twice is to be expected when you manage reputations. Anyone can get into a bit of trouble over almost anything these days. But if a client keeps making the same mistakes, you can either choose to cut them loose, or you can firmly guide them to stop pushing the repeat button!

    Attend to what’s being said about a public figure or brand; learn what you can from how these reports affect (or do not affect) your interest; and then, at almost all costs, avoid getting in hot water again. The easiest way out of a sticky situation is to not get into it in the first place.

    PR is an art, not a science, and like any art, you can get training in it to learn how to draw your own portrait, paint your own scene and write your own script. With media training and advice from publicity veterans, you can get ahead and get in front of the story — the story you want to tell.
