How to Create Users and Roles in a VMWare ESXi Host Client

Like all software and Operating Systems, VMWare ESXi allows admins to create users, or roles (groups) and add users to roles. Read this guide to learn how to add users and groups to a VMWare ESXi host.

Overview of Users and Roles

ESXi hosts provide default roles you can use to assign users permission. The screenshot below shows the default roles in ESXi 7.0

The table below lists the three default roles you can use to grant users various access and permissions to an ESXi 7 host.

Role Role details
Administrator Grants members full access rights
No cryptography administrator Also grants full access but without Cryptographic operations and Trusted Infrastructure privileges
Read-only Users in this role can view details of objects, but cannot make changes
Beyond these three built-in roles, you can create custom roles if the default roles do not meet your needs.

How to Create Roles in ESXi 7 Hosts

  1. Sign in to the ESXi host with a web browser, then, below Hosts, click Manage > Security & Users tab > Roles menu > + Add role.

  1. After that, enter the role’s name, check the privileges you want to grant the role, and click Add.

How to Create Users and Add Them to Roles

Step 1: Create a User

User names in ESXi hosts are case-sensitive. So, to reduce complexity, I strongly recommend using all lower-case for user names.

  1. Follow the steps in the previous section. However, in step 3 in the screenshot, select the Users menu and click Add user.

  1. Finally, enter the user’s user name, an optional description, and password and click Add.

The user name field cannot contain a period (.) or space but it can contain a dash (-). Once a user has been created, you cannot modify the user name.

Step 2: Add the User to a Role

Creating a user in ESXi host does not grant them sign in permissions. For the user to sign in and perform tasks, they must be added to a role.

  1. Sign in to the ESXi host’s web client, click Host, then, the Actions menu and select Permissions.

Conclusion

ESXi hosts have built-in (or default) roles admins can use to grant users access to the host. However, admins can also create custom roles if the default roles are not suitable.

To grant a user access to the privileges in a role, the user must be added to the role. It goes without saying that a user must be created before it can be added to a group!
